CASE STUDY 1 - Large local government council authority

ISSUES IDENTIFIED

Finance leadership sought to improve asset accounting, which was highly time-consuming, prone to error and restricted staff from working on other high-value items.
  • Total effort in on sub-process was 870 minutes per month (approx. 14.5hrs) across 5 finance officers.
  • All finance officers were performing the same tasks but over time their template documents were being changed and errors occurred continuously in formulas and calculations.

SOLUTION DESIGN AND DELIVERY

Three processes were scoped and automated across Finance, Digital City & Infrastructure Planning. 
This involved data validation, manipulation, workflow (based on user-defined parameters), exception reporting and final documentation preparation and communication via email and SMS.
This solution was turned around in a matter of days.

Exceptions can be identified quickly and sent for review

CASE STUDY 2 - TOP 10 ASX Listed transport company

ISSUES IDENTIFIED

The Finance and Tax leadership of this organisation were concerned with the risks and time consumed in the monthly tax review and associated dashboard reporting. This presented as a complicated problem, and a full system overhaul was not appropriate, nor cost-effective.
Manual efforts in reporting and review required almost three days and could only be started after all data validation was completed. Due to this time-consuming approach, there was also minimal time for exception reporting and risk identification.

SOLUTION DESIGN AND DELIVERY

A process of designing a learning journey that allowed for learning transfer and the monthly tax process was reviewed and automated, including exception reporting and dashboard reporting. This included: 
44 processes identified and engaged for automation. Set up of automation project management, training and governance support to the team

 

“Next step” review of Group Finance functional areas presenting similar risks and unnecessary manual process to develop an ‘automation culture’ for ongoing adoption (stakeholders)

 Tax process is now run in approximately 3 minutes, and automatically validate all data

 

All data exceptions emailed to relevant area groups



Tax team receive preliminary results instantly

 

Dashboard reporting is now possible


Full audit trail of every change made to data files
